The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers and characteristics for competition entrants (including name, date of birth and gender)
  • The name and location of your associated school
  • Contact details for teachers, coaches and emergency contacts (including email and telephone)
  • Information related to competition performance
  • Cookie information to identify you during your use of the website. This is only used to enable essential activity on the website and we do not track activity outside of this website.

How we get the personal information and why we have it

The personal information we process is provided to us directly by you, or from a coach or teacher at your school if applicable, to enable participation in the sporting events we organise. We use the information that you have given us in order to manage registration for and participation in the sporting events we organise. Information is used in the administration of sporting events, which requires that information identifying participants (including name, school, gender) is shared with those involved in the organisation of these events, including volunteer referees and administrators.

Beyond this, the only information which is shared with other parties is the result of competitions, which are published on this website.

Lawful basis for processing

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information is your consent. You are able to remove your consent at any time. You can do this by contacting us using the Contact PSFC form on this website.

How we store your personal information

Your information is securely stored in the UK.

Retention of personal information

Personal information relating to competition entrants' competition results is retained indefinitely as a record of the results of the competitions, and will be published on this website. Personal information relating to a fencer's entry is retained to enable administration of championship entries, until they are removed as a fencer by their school teacher or coach.

Personal information identifying teachers or coaches is retained while they are registered as relevant contacts for participating schools. You may remove this information by amending the detail of registered users and schools on this website.

Personal information identifying emergency contacts for competition entrants is retained for the duration of the championships. You may remove this information by amending the detail of competition entries.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us using our Contact PSFC form if you wish to make a request.

Transgender policy

The PSFC follows the British Fencing Transgender policy, the latest version of which may be found on the British Fencing website.

Cancellation policy

The Public Schools Fencing Championships (PSFC) are organised, on behalf of the participating schools, by the PSFC Organising Committee (‘the Committee’). The Committee takes out an insurance policy for each PSFC to cover the possibility of event cancellation, although it should be noted that certain exclusions apply.

The Committee reserves the right to cancel or postpone the PSFC based on any information available to it. Its guiding principles in making this decision will be ensuring the safety of all fencers and volunteers, adhering to all governmental and national governing body-issued rules and guidance, and considerations of fairness to all competitors.

The PSFC is run on a not for profit basis, but the Committee’s priority is to ensure the ongoing viability of the competition. Where the Committee must take the difficult decision to cancel the PSFC in a given year, it will seek to recover all costs incurred including presentation of a claim against any available insurance policy, where appropriate. Once these costs have been covered, the Committee will seek to provide a partial refund of entry fees already paid, to the extent it is possible to do so from the remaining fund of entry fees received for the cancelled event. The Committee will endeavour to communicate quickly and clearly with all schools in any circumstances where event cancellation is deemed necessary.
